Engagement Studio

Atobi's Engagement Studio allows admins to drive engagement by creating achievements and handing out rewards.

This enables you to motivate staff members and managers by recognizing their performance. Employees can earn incentives such as vouchers, coupon codes, or certificates when they meet specific criteria.

Who can use this feature?

🔑 Only admins with the required permissions can access Engagement Studio. When you grant this permission to a member, they must sign out and back in to be able to create achievements.

Accessing Engagement Studio

To access Engagement Studio, find it in the sidebar menu on desktop. You must have the required permissions to see this option.

Managing Achievements

In Engagement Studio you can create and manage all your Achievements across three states:

  • Draft: Achievements you are currently working on. These are not visible to members yet.  
  • Active: Achievements that are available for members to see and earn.
  • Archived: Achievements that are no longer active.

👀 Note: Members with access to Engagement Studio can view all achievements created within the platform.

Creating Achievements

Before you get started, it's helpful to understand the components that make up an Achievement. As you build, you can customize each of these components.


Name & description

The name and description will be visible to members. Use an easy-to-understand name and a description explaining the Achievement's purpose or outcome.

Example:

Title: "Checklist Master"

Description: "Prove that you're a master of checklists. Earn this achievement and receive a small surprise 🎁"

Trigger

Specify the criteria for earning the Achievement. Currently, the following triggers are supported:

  • When a member completes a specified number of articles in a specific channel.
  • When a member completes a specified number of articles within certain categories.
  • When a member completes specific articles.  
  • Additionally, you can set a minimum score requirement for these triggers.  

Example: Complete 10 articles in the Product Training channel with an average minimum score of 70%.

👀 Note: Currently, Triggers don't support:

  • Articles with recurring actions.
  • Team-based actions where only one member per location is required to complete it.

Additionally, ensure members can access all the specific articles when using the "Complete specific articles" trigger. If an achievement requires completing two articles and these articles have different audiences, a member may not earn the achievement if they aren't part of both audiences.

Visual

Customize how the Achievement should look. Achievements will be displayed on the members' Profile page for them to brag about and collect. Play with the colours, shape, icon, or image to make it look good.


Archive date

To limit the time period during which an Achievement can be earned, set an archive date. Archived Achievements will remain visible to members who earned them but will disappear for those who did not earn them before the archive date.


Reward

Optionally, you can attach rewards to an Achievement, such as vouchers, coupon codes, or certificate links. You have two options for adding rewards: 

  • Generic rewards: Use this if all members should receive the same reward, e.g., a standard discount code. The reward will be instantly accessible for members who meet the criteria for earning the Achievement.
  • Personalized rewards: Use this if members should receive a unique reward, such as a one-time voucher. Assign these after members have earned the Achievement, either individually or in bulk. See more in "Following up on Personalized rewards" below.

After setting everything up, you can save or publish your Achievement 🚀

👀 Note: Achievements can be edited and updated only until a member has earned them. Once earned, they cannot be modified.

🚀 Tip: After publishing an Achievement, create a Feed post to boost awareness! Share that it's live, highlight the criteria, and mention the reward to spark engagement.

Tracking Achievements

When members start working on an Achievement by completing articles:

  • It will show up on their In Progress tab in their Profile.
  • If they complete the articles but fail to meet all criteria, it will show in their Failed tab.
  • When they earn the Achievement, it will show on their Achieved tab, and the member will receive a notification about it.

Results

To view results, open the active or archived Achievement and navigate to the Results section. Here, you can track members who are in progress, have earned the Achievement, or failed to meet the criteria. Use the search and filters to narrow down what you see.


Giving members Personalized rewards

If you use a personalized reward, you must follow up and give the unique reward to recipients after they have earned the Achievement.

In the Engagement Studio table, look in the Achieved column to see how many members have earned the Achievement but have not yet received their reward.

Click on the Achievement and go to Results. Here, you'll also see a banner about how many are missing. You can add the reward to members manually or by bulk uploading.


Manually giving rewards

  • Find the member you want to reward by searching or using the Not Rewarded filter.
  • Click Attach.
  • Use the "Reward" field to add a congratulatory note, voucher code, certification link, or any other reward.
  • The reward will be added, and the member will receive a notification.

Bulk upload rewards

  • Click Batch Upload. This will open a window.
  • Download the spreadsheet (.csv file) with members who haven't been rewarded.
  • Click Continue and follow the guide.
  • Upload the updated .csv file.
  • The rewards will now be added, and members will receive a notification about their reward.
