πŸ”Ή Permissions required: Only admins with the right access can manage achievements.

πŸ”Ή First-time access? If you just got permissions, log out and back in to activate it. πŸ”„

πŸ† Managing Achievements

Inside Engagement Studio, achievements can have three states:

βœ”οΈ Draft – Still being worked on, not yet visible to members. ✍️

βœ”οΈ Active – Available for members to see and earn! πŸš€

βœ”οΈ Archived – No longer active, but still visible for those who earned them. πŸ“œ

Note: Anyone with access to Engagement Studio can view all achievements created on the platform! πŸ”Ž

🎨 Creating Achievements

Before you get started, it's helpful to understand the components that make up an Achievement. As you build, you can customize each of these components.

1. Name & Description ✍️

Every achievement needs:

A clear name – Make it engaging and easy to understand.

A short description – Explain the goal or reward.

πŸ’‘ Example:

πŸ… Title: "Checklist Master"

πŸ“ Description: "Prove you’re a master of checklists! Earn this achievement and unlock a surprise reward!"

2. Achievement Triggers 🎯

What should members do to earn this achievement? You can set these triggers:

βœ”οΈ Complete a certain number of articles πŸ“– in a specific Channel πŸ“š.

βœ”οΈ Complete articles in a specific Category 🏷️.

βœ”οΈ Complete specific articles πŸ“.

βœ”οΈ Set a minimum quiz score πŸŽ“ for the achievement to be awarded.

πŸ’‘ Example:

πŸ… "Product Knowledge Pro" – Earned by completing 5 articles in the Product Training Channel with a minimum score of 80%.

⚠️ Important:

  • Achievements do not work with recurring actions or team-based tasks where only one member per location completes them.
  • If using the "Complete specific articles" trigger, ensure members have access to those articles!

3. Achievement Visuals 🎨

Your achievement should look great! 🎨 Members will see it on their profile page, so choose colors, icons, or images that make it stand out! 🌟

Best Practice: Use icons or simple graphics instead of detailed images for better visibility.

4. Archive Date πŸ“…

Want to make the achievement available for a limited time? Set an archive date! ⏳

Before the archive date – Members can earn the achievement.

After the archive date – It disappears for those who didn’t complete it, but remains visible to those who earned it.

5. Adding Rewards 🎁

Want to increase motivation? Attach a reward to the achievement! πŸ†

πŸ”Ή Generic Rewards – The same reward for everyone (e.g., discount code). 🎟️

πŸ”Ή Personalized Rewards – Unique rewards manually assigned after completion (e.g., one-time vouchers). 🎫

πŸ’‘ Example:

πŸ… "Top Sales Performer" – Earners receive a personalized voucher for a team lunch! 🍽️

Important: Achievements cannot be edited after a member has earned them! Make sure everything is correct before publishing. βœ…

Best Practice: Announce new achievements with a Feed post! πŸ”₯ Highlight the criteria and reward to get everyone excited! πŸŽ‰

πŸ“Š Tracking Achievements

Members can see their achievements in their profile page, categorized as:

πŸ… "In Progress" – They’re working toward earning it! πŸ’ͺ

❌ "Failed" – They completed the articles but didn’t meet the criteria. 😞

βœ… "Achieved" – They met the requirements and earned the achievement! πŸŽ‰

πŸ“© Members receive a notification when they complete an achievement.

🎯 Checking Results & Assigning Rewards

How to check results?

  • Open the active or archived achievement and go to the Results section.
  • Use search & filters to track who’s in progress, who earned it, and who didn’t meet the criteria.

πŸ‘₯ Personalized Rewards? Follow up with manual reward assignmentsβ€”either individually or in bulk.

🎁 Giving members Personalized rewards

If you’ve set up a Personalized Reward, you’ll need to manually assign the reward to members after they’ve earned the achievement. πŸ†

Why Use Personalized Rewards?

  • Keeps rewards meaningful – Tailor rewards to individual performance. 🎯
  • Creates a personalized experience – Makes employees feel valued and recognized. 🌟
  • Flexible reward options – From gift cards to exclusive perks, you can reward any way you like! 🎁
  • Easier tracking & management – The Engagement Studio lets you see who’s earned a reward and who still needs one. πŸ“Š

Where to Check?

In the Engagement Studio table, check the Achieved column to see:

  • How many members have earned the achievement.
  • How many have not yet received their reward.

How to Assign Rewards?

Click on the Achievement, go to the Results tab, and you’ll see a banner indicating how many members still need to receive their reward.

Manually giving rewards

Step 1: Use the search bar or apply the "Not Rewarded" filter to find specific members.

Step 2: Click Attach next to the member’s name.

Step 3: In the "Reward" field, enter:

    • A congratulatory message πŸŽ‰
    • A voucher code 🎟️
    • A certification link πŸ“œ
    • Any other custom reward

Step 4: The reward will be added instantly, and the member will receive a notification. πŸ””

Best Practice: Manually assigning rewards is great for one-time or personalized gifts like exclusive discounts or customized certificates!

Bulk upload rewards

For larger groups, you can bulk upload rewards to save time! ⏳

Step 1: Click Batch Upload πŸ“. A new window will open.

Step 2: Download the spreadsheet (.csv file) that lists all members who haven’t received their reward yet.

Step 3: Click Continue and follow the guide.

Step 4: Fill in the reward details for each member in the .csv file.

Step 5: Upload the updated .csv file.

βœ”οΈ Done! πŸŽ‰ The system will now assign rewards in bulk, and each member will receive a notification about their reward. πŸ“©

Best Practice: Bulk uploading is ideal when handling large groups, such as team-wide achievements or seasonal reward distributions! πŸš€
